Use the Insert Video option in the editor to embed and display videos in your articles.
Video size limits
We cap individual file upload size at 200MB. Many longer videos exceed this. For those videos, we recommend hosting on a third-party video provider and using the Embedded Code option.
There are four ways to insert videos. For all four, you'll begin the process in the editor by selecting the Insert Video icon in the editor toolbar:
The Insert Video option in the Modern Editor
Once you select Insert Video, a small modal opens where you select how you want to insert the video. Choose from these options:
- By URL: Paste in the URL of a video in another video-hosting platform. Follow the Insert by URL instructions.
- Embedded Code: Paste in the embed code of a video in another video-hosting platform. Follow the Insert embedded code instructions.
- Upload Video: Upload .mp4 or other videos less than 200MB directly to KnowledgeOwl. Follow the Upload new video instructions.
- Add From Library: Add a video you've already uploaded to KnowledgeOwl. Follow the Add existing video instructions.
Once you've inserted your video, you can also make some small edits to how it displays. Refer to Edit the inserted video for more information.
Insert by URL
Use the By URL option (the link icon) to paste in a URL from Youtube, Vimeo, Dailymotion, Yahoo, Rutube, or another third-party provider. The editor will automatically embed it for you using that site's player, using whatever defaults exist for the video.
To use this option:
- Copy the direct URL to a video from your third-party provider.
- In KnowledgeOwl, select Insert Video.
- Select the By URL link icon (first icon) in the Insert Video modal.
- Paste the video's URL into the provided field.
- Select Insert.
The video is added to your article.
Insert embedded code
Use the Embedded Code option (the </> icon) to add a video embed code copied from a third-party video hosting platform.
Most third-party video providers (such as Vimeo, Wistia, YouTube, etc.) will generate embed codes for their videos.
By URL uses the default settings for the video; with Embedded Code, you often have more control over configuration, display, and playback options.
To use this option:
- In your third-party video platform, copy the embed code to a video. This may be an iframe code or a platform-specific embed code.
- In KnowledgeOwl, select Insert Video.
- Select the Embedded Code code </> icon (second icon) in the Insert Video modal.
- Paste in the Embed Code for your video.
- Select Insert.
The video is added to your article.
Wistia troubleshooting
Some Wistia embeds can behave oddly in KnowledgeOwl. If you're trying to paste Wistia embed codes and having trouble, refer Wistia video embeds for more details.
Upload new video
Use the Upload Video option (upload arrow icon) to upload a video file directly from your computer to KnowledgeOwl. File size limit is 200MB. The video will be displayed using an HTML5 video player, which supports MP4, WebM, and Ogg video formats. MP4 is the only file type that works in all major browsers.
To use this option:
- In KnowledgeOwl, select Insert Video.
- Select the Upload Video upload arrow icon (third icon) in the Insert Video modal.
- Drag and drop your video into the Drop video section, or click anywhere in the Drop video section, browse to the video file you want to upload, select it, and select Open.
- The video uploads to your Files page and is inserted into your article and displayed using our HTML5 video player.
Video upload troubleshooting
If you receive an error trying to upload, verify that that the video is under 200MB. If the video's under that size and you're still receiving errors, please contact us for help.
Add existing video
Use the Add From Library option (folder icon) to insert a video that you've already uploaded to your Files. This is a great way to keep your Files storage organized and reuse videos in multiple pages.
To use this option:
- In KnowledgeOwl, select Insert Video.
- Select the Add From Library folder icon (last icon) in the Insert Video modal. The Add from Library modal opens.
- Browse or search for the video you want to insert. Once you find it, select it.
- Select Insert File to insert the video into your article.
The video is inserted into your article and displayed using our HTML5 video player.
Edit the inserted video
Once your video has been uploaded, you can further tweak how it displays by selecting anywhere on the video or next to it to open the video contextual menu:

Use this menu to:
- Replace this video with a different video (arrows icon).
- Remove this video from the article (trash can icon).
- Change the Display option for the video (star icon and dropdown).
- Choose between Inline or Break text. Inline will allow text around the video; Break text will force a text break before and after the video.
- Change the Alignment for the video (line icon and dropdown).
- Choose between Align Left, None (which generally centers the video), and Align Right.
- Change Size for the video (four-way arrow icon).
- This opens Width and Height controls. To keep your video scaling well, we recommend only changing the Width. Enter a percentage (%) or pixel (px) size.
- If you don't want to guess at resizing numbers, you can also select the video and click and drag one of the blue corner boxes to resize dynamically.
