For each article in your knowledge base, you can control whether it's displayed in several places:
- Category landing page or homepage
- Table of contents
- Search results
- Article lists
This page walks through the article visibility controls and how to access them.
The information below varies based on whether you're using our 2026 new editor or old editor.
To figure out which instructions to follow:
- Open any article for editing.
- If the lefthand navigation is collapsed and there's a link near the top of the page to Switch to old editor, follow the New editor documentation.
- If the lefthand navigation is expanded and the top of the editor and the righthand column have a heavier grey background, follow the Old editor documentation.

We'd love your feedback on the new editor. To switch to the new editor, open any article for editing and select the Switch to new editor link at the top of the editor.
Hide from category landing page or homepage
Use this setting if you want to hide the article from the landing page for the category it's found in, or the homepage if the article isn't within a category landing page.
In the new article editor, this setting is found in the Other section in the righthand column:
- Open the article for editing.
- In the Other section, select any of the text next to Visibility.

In the old article editor, this setting is found in the Display Settings section in the righthand column:
- Open the article for editing.
- In the Display Settings section, check the box to Hide from category landing page (or Hide from homepage):

Hide from table of contents
Use this setting if you don't want this article to appear in the table of contents. If you're using the Contextual Help Widget 2.0, it also hides the article from the Knowledge tab in that widget.
In the new article editor, this setting is found in the Other section in the righthand column:
- Open the article for editing.
- In the Other section, select any of the text next to Visibility.

- Open the article for editing.

Hide from search results
Use this setting if you want to hide the article from search results. Most often this is used as a short-term or temporary setting while something is in-progress or under review, but you can use it for as long as you'd like to.
When this box is checked, the article is always hidden from your knowledge base search results. It's still available by URL and may be available in other navigation and lists depending on the other settings you use. Checking this box also adds a noindex tag to the individual article or category and excludes it from your sitemap.

- Open the article for editing.
- In the Other section, select any of the text next to Visibility.

- Open the article for editing.

Hide from article lists
KnowledgeOwl comes with several built-in article lists, including the New Articles list, Updated Articles list, Popular Articles list. Use this setting if you want to hide the article from these lists.
This setting doesn't hide the article from the Recent Articles List, Article Favorites, or Required Reading list.
In the new article editor, this setting is found in the Other section in the righthand column:
- Open the article for editing.
- In the Other section, select any of the text next to Visibility.
